Terms and Conditions for Virtual Office Services

1. Introduction

These Terms and Conditions ("Terms") govern the use of virtual office services ("Services") provided by CoWorking Devon ("Provider"), located at [Your Address], Buckfastleigh. By subscribing to or using our Services, you ("Client") agree to be bound by these Terms.

 

2. Services Provided

  • Virtual Office Address: The Client will be provided with a professional business address for registration and correspondence purposes.

  • Mail Handling: The Provider will receive, sort, and store mail and packages on behalf of the Client.

  • Access to Mail: Clients may access their mail and packages from 9 AM to 5:30 PM, Monday to Friday.

  • Additional Services: Optional services, such as mail forwarding, meeting room access, and others, may be offered as part of different service packages.

 

3. Subscription and Payment

  • Fees: The standard fee for the virtual office package is £25 per month on a rolling subscription.

  • Payment Terms: Fees are payable monthly in advance. Alternatively, Clients may opt to pay annually and receive a 15% discount.

  • Contract Duration: The contract is month-to-month, with the flexibility to extend or terminate with 30 days’ notice. Once cancelled, all post will be returned to sender and will not be available for collection. 

  • Renewal: The subscription will auto-renew each month unless terminated by either party with 30 days' notice.

 

4. Client Obligations

  • Identity Verification: The Client must provide proof of identity (passport or driving license), registered business address, personal address, and incorporation documents. These documents must be provided for all shareholders or the sole trader.

  • Compliance: The Client agrees to comply with all applicable laws and regulations, including AML and data protection laws.

  • Registered Address Update: The Client is responsible for updating their registered address with Companies House, either online via Webfiling or by paper return.

 

5. Mail Handling and Privacy

  • Mail Receipt and Storage: The Provider will handle and store mail securely. The Client authorises the Provider to receive mail on their behalf.

  • Mail Forwarding: The Client can request mail forwarding services for an additional fee. The Provider will take reasonable steps to ensure mail is forwarded promptly.

  • Data Protection: The Provider will handle all Client information in accordance with GDPR and other relevant data protection laws.

 

6. Termination and Suspension

  • Termination by Client: The Client may terminate the contract with 30 days' notice. Any prepaid fees are non-refundable.

  • Termination by Provider: The Provider reserves the right to terminate the contract if the Client fails to comply with these Terms or uses the address for unlawful activities.

  • Suspension of Services: The Provider may suspend services if the Client fails to make timely payments or breaches any part of these Terms.

 

7. Limitation of Liability

  • Service Interruptions: The Provider will not be liable for any interruptions in service or loss of mail beyond their reasonable control.

  • Liability Cap: The Provider’s liability to the Client for any claim arising from the Services is limited to the amount of fees paid by the Client in the last six months.

 

8. General Provisions

  • Amendments: The Provider reserves the right to amend these Terms at any time. Clients will be notified of any significant changes.

  • Governing Law: These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

  • Entire Agreement: These Terms constitute the entire agreement between the Client and the Provider regarding the Services.
